Administrative Assistant

POSITION OVERVIEW

The Administrative Assistant serves as a welcoming and reliable first point of contact for parishioners, visitors, and community members, both in person and through phone and email communication. This role provides essential administrative support to clergy and staff and contributes significantly to the smooth and effective daily operation of the church office.

Success in this position requires strong organizational skills, attention to detail, a service oriented spirit, and the ability to handle confidential information with discretion and care. The Administrative Assistant works collaboratively across staff teams and helps ensure that communication, records, and systems support the mission and ministry of the parish.

ESSENTIAL RESPONSIBILITIES OF THE JOB

Front Office & Hospitality

  • Provide courteous and professional receptionist support, including answering phones, responding to emails, and welcoming visitors and vendors.
  • Serve as a calm, helpful, and informed presence for parishioners and guests seeking assistance or information.
  • Receive, log, and maintain records of incoming phone calls and messages as needed.

Administrative Support & Office Operations

  • File correspondence, reports, and records in both digital and physical formats.
  • Monitor, sort, and distribute internal and external mail; assist with bulk mailings and delivery to the post office as required.
  • Maintain common office areas in an organized and professional manner to ensure a welcoming first impression and accessibility of files and records.
  • Perform accurate data entry and assist with database maintenance and reporting.

Database, Systems & Technology

  • Help maintain the parish database (Realm), ensuring records are accurate, current, and used effectively.
  • Export, clean, format, and prepare data for mail merges, reports, and communications as needed.
  • Assist with point-of-sale systems (e.g., Clover, Square) for events, programs, or parish operations.
  • Support staff and parish activities using Zoom and other virtual meeting tools.
  • Demonstrate proficiency with Microsoft Office, with particular emphasis on Excel, Word, and Teams.

Events & Program Support

  • Assist with planning, registration, and fee collection for parish events and programs.
  • Support coordination of event logistics, communications, and follow-up as requested.

General Support

  • Perform other related duties as assigned by the Administrator for the Clergy or the Clergy, in support of parish operations and ministry.

COMPETENCIES AND QUALIFICATIONS

  • Bachelor’s degree or equivalent combination of education and related experience
  • Excellent verbal and written communication skills, with strong attention to spelling, grammar, and clarity
  • Strong organizational, time-management, and multitasking abilities
  • Demonstrated ability to handle sensitive information with confidentiality and discretion
  • Strong interpersonal skills and comfort working with individuals and groups of all ages
  • Working knowledge of the Episcopal Church and its practices, or willingness to learn
  • Experience with Microsoft Office and database or donor-management software (e.g., Realm)

Working Conditions/Physical Requirements

Work is conducted in an office setting and requires the ability to move throughout church buildings. A valid driver’s license and access to an automobile are useful. The position may occasionally require transporting bulk mailings to the post office.

Tests/Examinations

Background check and Safeguarding certification as required by the Episcopal Diocese of Florida.
